Terms and Conditions

When selling your vinyl to us 

1. Eligibility

This service is available to UK residents aged 18 and over who have the legal right to sell the records they submit. By using the service, you confirm that you are the rightful owner or have the owner's consent to sell the records.

 

2. Sending Your Records

  • Before sending any items, you must contact us, receive a quote and reference number, send us an invoice and be provided with a prepaid postage QR code or label.

  • Records must be securely packaged and sent using our choice of UK postal or courier service, tracking and insurance will be provided correlating to the valuation and quote given by Dig Down Records.

  • All packages valued at £20 or less will be sent with InPost, packages valued at £150 or less will be sent with Royal Mail Tracked 48.

  • If we provide you with a prepaid postage label or arrange a courier to collect your item, we (the buyer) are responsible for the item once it has been handed over to the postal or courier service. However, you (the seller) are responsible for ensuring that the item is safely and securely packaged. If the item is damaged in transit due to clearly insufficient packaging (e.g., loose items, lack of padding, or exposed surfaces), we reserve the right to adjust or withhold payment. In such cases, we will provide photographic evidence and a clear explanation. Please refer to our Best Packaging Practices page for more info.

  • If you choose to use your own courier or postage method, you are responsible for the item until it is delivered to us.

  • In sending your records to us you are confirming that your individual records hold at least a Very Good+ rating (graded using the standard Goldmine system) for media and sleeves.

3. Valuation and Offers

  • On receiving your records, we will inspect each item for condition, authenticity, and marketability.

  • We aim to certify our valuation subject to the records meeting a minimum Very Good + Goldmine system rating and settle any payment within 5-7 working days of receiving your package.

  • Offers are based on fair market value, taking into account demand, rarity, and condition (graded using the standard Goldmine system).

  • If we accept the condition, authenticity, and marketability, we will proceed with payment and fulfil your invoice. (see section 4).

  • If we decline the condition, authenticity, and marketability, we will return the records free of charge via tracked delivery (UK addresses only).

4. Payment Terms
•    In creating a PayPal invoice with your personal details, reference number and the price quoted by Dig Down Records (the buyer), you (the seller) are accepting our quote provided to you via email. Payment will be made within 5-7 working days via PayPal invoice, subject to the conditions stated in part 3 on receiving and valuing your records. 
•    In selling to us and opting to use PayPal invoicing you are confirming acceptance of any PayPal fees, terms and conditions. 
•    It is your responsibility to ensure that your payment details and reference numbers are correct. While Dig Down Records will make every effort to identify any mistakes made by you (the seller), we are not liable for delays or misdirected payments resulting from incorrect information, but we will make reasonable efforts to assist in resolving such issues.

5. Ownership and Risk

  • Ownership of the records transfers to Dig Down Records only upon acceptance of our quote and successful payment.

  • Until that point, you remain the legal owner and may request return of your items at any time (provided we have not paid for them). At this point you (the seller) would be responsible for any postage costs to return your records. We will store them free of charge until postage is arranged by you (the seller).

  • By using our service, you confirm that all records sent are free from any third-party claims and that you are legally permitted to sell them.

6. Items We Do Not Accept

We reserve the right to reject:

  • Counterfeit or bootleg pressings

  • Records with excessive damage (e.g. cracked, warped, or mouldy)

  • Stolen property

  • Content that is illegal under UK law

Unacceptable items will be returned at the seller’s expense if the items were clearly misrepresented prior to sending, or may be disposed of if return is not requested within 14 days.

7. Liability

Where we have arranged the courier or provided a prepaid label, we accept responsibility for the item in transit once it has been handed to the postal or courier service. Where the seller has chosen their own courier, they are responsible for the item until it is delivered to us.

In cases of damage due to inadequate packaging, we may limit compensation based on photographic evidence and courier terms, not exceeding the agreed quote.

Dig Down Records shall not be liable for:

  • Any indirect or consequential loss, including lost profits or opportunity

  • Delays in payment due to incorrect or incomplete information provided by you

 

Our liability for items damaged in transit (when shipped using our prepaid label or arranged courier) is based on the agreed quote and valuation provided by Dig Down Records.

Where damage occurs due to inadequate packaging by the seller, we reserve the right to reduce or withhold payment, and will provide photographic evidence to support this decision.

In the event of damage during transit, we will manage any applicable claims with the courier. If the courier’s compensation does not cover the full valuation, Dig Down Records will make up the difference, up to the original quoted amount.

8. Right to Cancel

Under the Consumer Contracts Regulations 2013, you have the right to cancel your submission before accepting any offer. Once you have accepted an offer and we have made payment, the transaction is considered complete and cannot be reversed.

9. Privacy and Data Protection

We collect and process your personal information in accordance with the UK GDPR and the Data Protection Act 2018. Your information will be used solely for the purpose of providing this service and will not be shared with third parties without your consent. Please refer to our Privacy Policy for more information.

10. Amendments to These Terms
We may revise these Terms and Conditions from time to time. Any updates will be posted on our website. By continuing to use our service, you accept the updated terms.

Welcome to Dig Down Records – your destination for quality used vinyl online. By placing an order through our website, you agree to the following Terms and Conditions. Please read them carefully, as they form a legally binding agreement between you (the customer) and us (the seller).
These terms are in accordance with UK consumer protection laws, including the Consumer Contracts Regulations 2013 and the Consumer Rights Act 2015.
 
1. About Us
Dig Down Records is an independent online record shop based in the UK. We specialise in pre-loved vinyl records, with every item carefully graded and described using the Goldmine Grading System (see Section 3). Our contact details are provided at the bottom of this page.
 
2. Eligibility to Purchase
By ordering from this site, you confirm that you are:
•    At least 18 years old, or ordering with a parent/guardian’s permission
•    Providing accurate personal and payment information
 
3. Product Descriptions & Grading
Most records sold are used, and we grade both the vinyl and the sleeve using the Goldmine Grading Standard:
•    Mint (M) – Sealed/unopened only.
•    Near Mint (NM or M-) – Barely played, virtually no signs of wear.
•    Very Good Plus (VG+) – Light signs of use, excellent playback.
•    Very Good (VG) – Clear signs of wear, may include surface noise.
•    Good Plus (G+) / Good (G) – Heavier wear and noise, but playable.
•    Fair (F) / Poor (P) – Major defects, collectible or filler copies only.
All descriptions are made in good faith. We aim to provide clear photos and honest assessments of every item.
 
4. Prices & Payment
All prices are listed in Pounds Sterling (£ GBP) and include VAT where applicable.
We accept secure payments via:
•    Credit/debit cards
•    PayPal
•    [Other payment options if relevant]
Payment must be made in full before dispatch. We reserve the right to change prices or correct errors at any time.
 
5. Delivery
We offer shipping across the UK (and to the EU via our Discogs page, where specified). Shipping costs are calculated at checkout.
Dispatch & Delivery:
•    We aim to typically dispatch orders within 1–2 working days. Orders over £20 may be held for consolidated dispatch on the next Saturday after payment is received. 
•    Estimated delivery times are not guaranteed
•    We cannot be held responsible for postal delays outside our control
All records are securely packaged in sturdy mailers. If your order arrives damaged, please contact us within 3 working days.
 
6. Right to Cancel (UK Distance Selling Regulations)
Under the Consumer Contracts Regulations 2013, you have the legal right to cancel your order within 14 days of receiving your item, for any reason.
To cancel, please email us at dig.down.records@gmail.com stating your name, order number, and that you wish to cancel. You must then return the item to us within 14 days of cancellation.
Returns:
•    Items must be returned in the same condition as received
•    You are responsible for return postage costs (unless the item is faulty/misdescribed)
•    Refunds will be processed within 14 days of us receiving any returns
Please note: Sealed records must remain sealed to qualify for a full refund unless the item was faulty. If a sealed record is opened, your statutory right to cancel still applies if the item is faulty, but we may make a deduction from your refund to reflect any loss in value
7. Faulty or Misdescribed Items
Under the Consumer Rights Act 2015, you are entitled to a refund or replacement if an item is not as described, faulty, or unfit for purpose.
f your item arrives damaged or not as described, please contact us at dig.down.records@gmail.com within 14 days so we can help make it right—whether with a refund, replacement, or credit.
Return shipping for unwanted items is the buyer's responsibility unless the item was damaged or not as described.
 
8. Limitations of Liability
We will not be liable for:
•    Any indirect or consequential loss
•    Delay or failure in performance caused by events outside our reasonable control
Nothing in these Terms excludes or limits your statutory rights as a consumer under UK law.
 
9. Privacy & Data Protection
We collect only the personal data needed to process and deliver your order. Your data is handled securely and is never sold or shared with third parties, except where required to fulfil your order (e.g., with couriers or payment providers).

10. Governing Law
These Terms and Conditions are governed by English law. Any disputes shall be subject to the exclusive jurisdiction of the courts of England and Wales.
